Cashflow

Cashflow offers everything that is required to conduct proper credit management. The module determines automatically which actions must be taken and offers the tools to carry them out.

The most important features of Cashflow are:

Templates

One of the key activities of credit management is corresponding with debtors. During this process documents are sent to inform debtors that payments are due.

These documents can be generated by the Cashflow module automatically based on predefined templates specifying the content and lay-out.

When d-basics is installed a default set of templates is generated. These templates can be modified, it is also possible to add additional templates.

After a template is created it can be linked to a profile. This profile is used to set at what stage during the credit management process a document must be generated (also see Profiles).

Profiles

Credit management is carrying out activities that aim at getting invoices paid once they are due. These activities must be executed in a specific order and at a specific time.

A default profile is created during the installation of d-basics. This profile specifies a number of actions and the moment - relative to the due date - that the action must be carried out.

It is possible to change the default profile or to make new profiles enabling a user to create different treatment plans for different groups of debtors.

Match debtors to profiles

A profile is used to specify in which way credit management is conducted. Because groups of debtors might require a unique approach it is possible to create more than one profile.

Once these profiles are created, assigning a debtor to a profile is all that is needed to indicate how a debtor should be treated.

Organizer

Once they have become due Cashflow - based on the profiles - generates the actions that must be carried out. These action are presented in the Organizer window of Cashflow. This window offers the following possibilities:

Import information from the accounting package
  Credit management should always be conducted based on current information. Because the d-basics software can make a connection with the database of an accounting package and copy the required information, a single push of a button is enough to update the information used by Cashflow.
Check settings
 
A debtor can only be processed by Cashflow after a profile has been assigned to it. Organizer indicates if debtors are detected that does not have a profile and offers the possibility to select the desired profile.

Further one can exclude debtors or invoices that should not be treated by Cashflow at all (such as intercompany invoices).

Carry out actions
  After importing the information from the accounting package and checking the settings Organizer automatically generates the actions that must be carried out. These actions are displayed in a list which can be filtered based on customer, profile, action type etc.

Actions

The following action types exist:

Letter action
Telephone action
Corporate Rating action
Note/Reminder
Debt collection action

The profiles are used to determine when an action is due. Once due the action is presented to the user so it can be taken care of. For as far as possible Cashflow offers tools to automatically carry out actions.

Actions can be postponed or closed. If an action isn’t taken care of it will be presented again the next time Organizer is started.
